Who we are

Lekhiva ("we", "us", "our") operates this website at lekhiva.com and the Lekhiva application at app.lekhiva.com. This policy explains what information we collect when you visit this site, contact us or use the application, and how we use it.

Information from this website

• Email requests: if you contact us, we receive whatever information you include in that email (typically your name, email address and business details).
• WhatsApp and calls: if you contact the published number, we receive your phone number and the information you choose to share. WhatsApp is a third-party service with its own privacy terms. Its links open only when you select them; we do not embed a WhatsApp tracking widget.
• GST calculator: the free GST calculator on this site runs entirely in your browser. The amounts you enter are not sent to or stored on our servers.
• Proforma and reminder tools: entered details are processed in the page and are not submitted to Lekhiva or saved in browser storage by these tools. Refreshing or closing clears them. PDFs you save, browser autofill and copied text may remain on your device or chosen print destination. Our page-source analytics beacon is disabled on these two tool pages.

We use Cloudflare Web Analytics to understand page visits and website performance. Its beacon reports usage and performance information to Cloudflare. It does not use analytics cookies to identify individual visitors across websites. See Cloudflare's privacy policy.

If you use the contact form, we receive your name, email address, business name (if you give it) and message, and store them so we can reply. We also keep a one-way hash of your internet address and your browser details for a short time to spot spam; the address itself is not stored. You can also contact us using the email, telephone or WhatsApp links.

Information from the Lekhiva application

When you create an account or use the application, we process the following.

• Account details: your name, email address, a password (stored only in a protected, hashed form) and, if you add it, your phone or WhatsApp number.
• Business records you enter: your business details and GST registration, invoices, proformas, bills, payments, items, accounting entries, bank statement lines you import, and notices or tasks you record. This can include information about your customers and vendors, such as names, GSTINs, addresses, phone numbers and email addresses. You decide what to enter.
• Files you upload: logos, signatures, bill attachments, bank statements and saved copies of issued documents.
• Team and CA connections: the people you invite, their roles and access, and the connection between your business and a CA firm.
• Security and activity records: sign-ins, the changes made to a business and who made them, with the time, IP address and browser details. Owners and admins of a business can see this activity log for their business.

How we use it

• To provide the application, keep your records, and let you work with your team and your CA.
• To secure accounts, prevent misuse and investigate problems.
• To respond to your requests and send messages about your account, such as invitations and password resets.
• To improve the product and understand how it is used.

We do not sell or rent your information to third parties.

Bill reading with AI

If you use the bill reading feature, the bill file you upload is sent to Google's Gemini service to read the details. You review the suggested details before anything is saved. Google processes the file under its own terms.

Who can see your information

• People in your business: members you invite can see what their role and screen access allow.
• Your CA: a CA firm can see your records only after you accept their connection, and only the access you grant. You can remove their access at any time. Information they have already downloaded cannot be recalled.
• Service providers: we use providers to run the service, including cloud file storage (Amazon Web Services), AI bill reading (Google) and website analytics (Cloudflare). We may also use providers for email delivery, text and WhatsApp messages and payment processing, as those features are used. They process information only to provide their service to us.
• Legal requirements: we may disclose information where the law requires it.

Cookies and browser storage

The application uses a sign-in cookie to keep you signed in, and stores your display preferences, such as light or dark mode, in your browser. We do not use these for advertising. This website does not use advertising cookies.

Data retention

We keep your account and business records for as long as your account is active. If you ask us to delete your account or information, we will delete or anonymise it unless we need to keep some of it to meet a legal obligation or to resolve a dispute. Records that the application treats as permanent, such as issued invoices and the activity log, may need special handling; contact us and we will explain what can be removed. You can download your business data from the application at any time.

Security

We use access controls, session security and activity logging to protect your information. No system is completely secure, so please use a strong password and keep it private.

Your choices and rights

You can ask us to access, correct or delete your information, or withdraw a permission you have given, by emailing hello@lekhiva.com. You can also correct most information yourself in the application. If you are not satisfied with our response, you can contact us again and we will review it. You may also have rights under Indian data protection law, including the Digital Personal Data Protection Act, 2023.

Children

Lekhiva is for businesses and professionals. It is not intended for people under 18.

Changes to this policy

We will update this policy when our practices change, and change the date at the top of this page. If a change is significant, we will tell account holders.
