How to track invoice payments
- Enter the customer, a unique invoice reference, due date, final invoice total and cumulative payments received. Use 0 if nothing has been received.
- Set the review date. It starts with today's date on your device; change it when reviewing an earlier period.
- When another payment arrives, edit that invoice and update the total received. Keep receipt dates and references in your own records.
- Filter outstanding, overdue or paid invoices. Use Reminder to prepare a message for an invoice with a positive balance.
- Export all invoices as CSV, or print the filtered report and save a PDF. Keep the file before leaving this page.
Import invoices from CSV or Excel
Open “Import CSV or paste from Excel” above. Choose a CSV file or paste tab-separated spreadsheet cells with a header row. Map customer, invoice reference, due date and invoice total; received amounts and notes are optional. Use YYYY-MM-DD dates and INR amounts with up to two decimal places. Review the preview, then add the invoices.
Imports add to your current list, up to 100 invoices altogether. Duplicate invoice references, invalid dates and invalid amounts stop the entire import so you can correct the file without partially changing your list. To reopen a saved export, import it into an empty tracker and choose your review date again. Balances and ageing are recalculated from your entries.
Understand your receivables ageing
The ageing summary groups outstanding balances into current (including due today), 1–30, 31–60, 61–90 and over 90 days past due. Paid invoices and overpayments are excluded. Ageing uses the current cumulative receipts you entered; changing the review date does not reconstruct historical payment balances.
How balances and overdue days are calculated
Balance equals the invoice total minus cumulative receipts, calculated in paise. An invoice of ₹29,500 with ₹10,000 received has ₹19,500 outstanding. A further ₹5,000 payment makes cumulative receipts ₹15,000 and the balance ₹14,500.
Overdue days are calendar days after the due date, measured against the review date, while a positive balance remains. An invoice due on 28 September is three days overdue on 1 October. It is not overdue on its due date. Paid invoices show zero overdue days, not their historical payment delay.
Summary totals always include all entered invoices, even when the list is filtered. Overdue amounts are part of outstanding amounts. A negative balance is labelled “Review overpayment” and is kept separate from other customers' outstanding balances.
What happens to my data?
Invoice entries are held in this page's memory. They are not submitted to Lekhiva or stored in browser storage. Refreshing or closing the page loses the list. Your exported files remain wherever you save them; You can import the exported CSV next time; account-based saving is not available in this tool. Analytics is disabled in this page's source; ordinary page requests still reach the site host.

What does this tracker leave out?
This is an INR collection list, not an accounting ledger. It does not model credit notes, withholding deductions, refunds, write-offs or foreign exchange, verify bank receipts, or send messages. Reconcile adjustments separately before requesting the displayed balance. Do not record an adjustment as money received simply to mark an invoice paid.
