When a customer pays an invoice in parts, keep the invoice total, each receipt and the remaining balance connected. A payment message is useful evidence to investigate; check the actual receipt before updating your collection list.

How to handle partial payments and track remaining balances on open invoices

Keep each open invoice at its original total and record every confirmed payment against it. For payments-only balances, subtract cumulative allocated payments from the invoice total. For supplier invoices, track payments sent and reconcile them with bank records and the supplier statement; for customer invoices, track receipts. Keep any credits, deductions or disputes separate and reconcile them before marking an invoice paid.

Keep one invoice and a separate receipt trail

For each invoice, record its reference, customer, due date and final total. For each payment, keep the received date, amount, bank or transaction reference and the invoice it settles. This makes it possible to reconstruct the cumulative amount later.

If one payment covers several invoices, record how much was allocated to each. Do not enter the full bank receipt against every invoice. If the customer's allocation is unclear, confirm it before updating balances.

Example: three payments against a ₹29,500 invoice

This fictional example starts with an issued invoice totalling ₹29,500. It illustrates tracking receipts, not calculating tax.

Receipts allocated to invoice INV-2026-014
EventNew receiptTotal receivedRemaining balance
Invoice entered₹0₹0₹29,500
First payment confirmed₹10,000₹10,000₹19,500
Second payment confirmed₹5,000₹15,000₹14,500
Final payment confirmed₹14,500₹29,500₹0

Balance = invoice total − total allocated receipts. After the second payment, enter ₹15,000 in a tracker field labelled “Total received”, rather than replacing the first ₹10,000 with ₹5,000. Keep both receipt references in the supporting log.

Separate payment status from the due date

An invoice can be partially paid before it is due or partially paid and overdue. If ₹19,500 remains on an invoice due on 28 September, it is three calendar days overdue when reviewed on 1 October. On 28 September itself, overdue days are zero.

Use the agreed due date rather than assuming every invoice has the same payment period. If the customer agrees a new expected payment date, keep that promise in your follow-up notes; do not silently overwrite the original due date.

Check differences before asking for payment

  • Payment received but not allocated: check the reference and assign the receipt to the correct invoice.
  • Customer says they have paid: request the transaction reference and reconcile it with your records.
  • Deduction, credit or disputed amount: record the reason separately and resolve it with your accountant. A difference is not automatically an unpaid cash balance.
  • Receipts exceed the invoice: investigate the overpayment. Do not apply it to another invoice without establishing the correct allocation.

A simple payments-only tracker cannot resolve withholding deductions, credit notes, refunds or write-offs. Keep these adjustments visible in your accounting process and confirm the amount actually due before sending a reminder.

Send a reminder using the checked balance

For the example after the second payment, a concise message could say:

Hi Aster team, thank you for the ₹15,000 received against INV-2026-014. Our reconciled remaining balance is ₹14,500. Could you confirm the expected payment date? If you have already paid it, please share the payment reference so we can check our records.

Adapt the message to the agreed due date and any unresolved questions. Use our payment reminder generator or email and WhatsApp examples for different situations.

Choose a way to keep your list

Use the online invoice payment tracker for a quick review, then export or print before leaving. It does not save your entries. For a file you can reopen and update, use the Excel payment tracker.

Keep invoices and supporting receipt records together using our monthly records guide. Saved invoice records, payments and CA collaboration are available in the Lekhiva application.
